Odoo ERP Integration & Operations Centralization

This distributor managed its entire logistics activity using shared Excel files. Sales orders and billing were separately managed in a local, offline database.

This highly siloed setup caused severe operational difficulties:

1. Unexpected Stockouts. The theoretical inventory in Excel frequently deviated from the physical warehouse inventory, causing undetected stockouts and significant delivery delays.
2. Tedious Double Entries. Sales representatives had to manually re-enter every single sales order so the accounting department could issue the corresponding invoice.
3. No Real-Time Financial Visibility. Executive management had no way of knowing their income statement in real-time and had to wait for the manual quarterly closing.

We designed and deployed a highly optimized, cloud-hosted Odoo Enterprise instance, customized to match the company's precise business workflows.

Complete Process Unification

All of the company's business pillars were gathered into a single, unified database. Sales orders captured by representatives instantly reserve physical stock in the warehouse and simultaneously generate draft invoices ready for accounting approval.

Logistics Automation

We set up automated reordering rules (Min/Max) configured for all 5,000 product SKUs. Odoo now automatically generates request for quotes (RFQs) to suppliers whenever a product falls below its critical stock threshold, entirely preventing inventory shortages.

Data Migration & Onboarding

A major part of the project was the clean migration of historical data: over 10 years of customer, supplier, inventory, and billing history were cleaned, formatted, and seamlessly imported. We then trained the sales, logistics, and financial teams through dedicated sessions to guarantee 100% user adoption.
